How Midmar runs a martial arts academy
A system for managing your taekwondo or karate academy, its subscriptions and its belts, built around how the dojo works:
Every belt or stage is its own programme
White and yellow, then green and blue, then red and black, or any split you use. Each programme has its age, price and payment cycle, a description of what the belt requires, and its groups. Promotion is the coach's decision; the parent then enrols in the next programme.
Small groups by age and gender
Each programme has a gender (boys, girls or mixed) and a category (children, adults or all ages), and each group has the places you set, for example 12 trainees with one coach. When it fills, enrolment closes on its own, and the system refuses a boy in the girls' programme or a child in the adults' one.
Siblings in one account, adults for themselves
The parent adds their children once and enrols each in the programme that fits their age and gender, even across three groups. An adult trainee creates their own account and enrols in the adults' programme.
Coach ratings in stars
The coach rates each trainee on skills they name themselves: kata, kumite, kicks, flexibility, discipline, from one to five stars with a note. Before grading season you export the ratings to a file and see who progressed. A karate and taekwondo academy management system keeps the coach's notes in one place.
Monthly, termly or a session pack
A monthly subscription for year-round trainees, a termly one paid at once, or a pack with a stated number of sessions for a short camp or a self-defence course, valid for 90 days.
Payment and renewal without chasing
Parents pay by mada, Apple Pay, card or Tamara, and Tabby on the academy's request, with the money going straight to its account. They receive a reminder email five days before the subscription ends and on the day it ends, on every package.
