Gymnastics academy management system: small groups with set places, skills rated by the coach, and subscriptions from the phone

A gymnastics academy management system in Arabic: open programmes for little ones from three years old and others for girls, set how many children stand on the mat with each coach, and parents enrol their daughter in the group that suits her age and pay from their phone, with the money going straight to your academy's account.

Gymnastics academy management system: a girls' gymnastics programme card with its age and places left on a phone

What wears out a gymnastics academy owner?

A four-year-old girl doesn't line up with nine-year-olds, and a coach can't spot more than a few children on the beam at once. A group fills up in days, then the messages keep coming: "Is there a place left?". And after two months nobody remembers who has mastered the handstand and who still needs a hand on the cartwheel.

How Midmar runs a gymnastics academy

From a three-year-old's first movement class to the advanced group, everything is organised by age and places:

Small groups, with places counted on their own

You choose each group's number of places, 4, 6 or 8, depending on your coach and your mat. When it is nearly full, parents read "Only 2 left", and when it is full it shows "Full" and the enrol button disappears. A place that was booked but not paid becomes available again on its own after two days, so no child's place stays held for someone who won't come.

From little ones to the advanced group

A movement and balance programme for little ones, then beginners, then intermediates, then an advanced group, or whatever split your gym uses. Each programme has an age range, a price and a free description where you write what the gymnast masters at this stage. When she moves up to the next stage is for you and the coach to decide, and her family enrols her in her new programme.

Programmes for girls, and ages from three

You give each programme its gender (girls, boys or mixed) and its age range, and the youngest age the system accepts is two. Age is calculated from the date of birth on the day of enrolment, so a four-year-old girl cannot join a "5–7" programme, and a boy is not accepted in a girls' programme.

Gymnastics skills in stars

After the session the coach opens their phone and marks who attended with a tap, then rates each gymnast on four skills they name themselves: balance, flexibility, handstand and cartwheel, on five stars with a short note. You can export the ratings to a file for any period, so you know who is ready for the next stage. This is how a gymnastics academy management system keeps what the coach notices.

Sisters in one account

One parent account is enough for all their daughters and sons: they add them once, then choose for each child the programme that fits their age, and each subscription has its end date.

Monthly for year-round, termly for the school term

A monthly subscription for those who train all year, or termly paid once, and for the summer a pack with a number of sessions you announce, valid for 90 days. The payment page accepts mada, Apple Pay, cards and Tamara, and Tabby is added if the academy asks for it. Five days before the subscription ends, parents get a reminder email, then another on the day it ends.

This is an example showing how to set it up, not a real academy or customer. The figures are a suggestion you can change as you like.

The smallest group here has four places, because advanced gymnasts need a coach close to each one of them. And each programme accepts only those who fit its age and gender.

The demo academy is a football academy, not a gymnastics one. But you'll find in it what matters to you here: a group with its places counting down, enrolling a child by date of birth, payment through a demo gateway, the coach's rating screen and the owner dashboard. Enter it in the role you choose, without an account.

How much does a gymnastics academy management system cost?

The basic package is free. Midmar charges SAR 6.90 including VAT only when a parent's payment succeeds, plus the payment gateway's fee for the method they paid with, and the rest goes to your academy.

Subscription Paid by The academy receives
Little ones' gymnastics: SAR 380 a month mada SAR 368.73
Girls' gymnastics · intermediate: SAR 960 a term mada SAR 942.06

A small group doesn't mean a bigger fee: the fee is per payment, not per place or per group.

Midmar's prices

Open your gymnastics academy on Midmar in three steps

  1. Divide your gymnasts by age: create a programme for each stage with its age, gender and price, and a group with its days, hours and few places.

  2. Put the link where families will see it: your-academy.midmar.app in your welcome message or on the gym door.

  3. Connect payments: your academy's account is opened with the payment gateway using your commercial registration or freelance document, and then enrolment starts.

Questions from gymnastics academy owners

Does it accept three-year-olds?

Yes. Make the programme's age start at 3 years, and the system calculates age from the date of birth on the day of enrolment and refuses anyone outside the range.

What happens to a place a parent booked but didn't pay for?

It stays held for two days, then becomes available again on its own for another child, without you having to follow it up.

Can a parent pay the termly subscription in instalments?

Yes, with Tamara, which is enabled automatically on the payment page. Tabby is added if the academy asks for it.

Is Midmar's fee deducted if the payment fails?

No. The fee is charged on a successful payment only, so if the parent's card is declined, nothing is deducted.

Can a mother see her daughter's rating?

Not yet. The rating is kept for the academy and you can export it whenever you like, and parent reports are "Coming soon" in the Growth package.

What if a parent changes their mind after paying?

If they ask within 50 minutes of payment, the whole payment is cancelled. After that a refund remains possible for 14 days, unless the academy set a shorter period. Refund Policy
