Communicating with parents at a sports academy: clear rules and ready message templates
Author: Anas Aloliwi, founder of Midmar · Published: 2026-10-19 · Last updated: 2026-10-19
Communicating with parents at a sports academy works through three things: one known channel for each type of message, published reply times, and short messages that say what changed, when, and what the parent needs to do.
In this guide: a table setting out where each message is written, ready rules text to pin in the parents' group, seven templates for situations that come up every week, and calm steps for handling a complaint.
Where do you write to parents? A channel for each type of message
| Message | Channel | Who sends |
|---|---|---|
| An announcement for the whole group (time, cancellation, holiday) | Announcements group | The manager |
| A matter about one child (absence, note, behaviour) | Private message | The coach or the manager |
| Money and subscriptions | Private message or the academy's page | The manager only |
| A complaint | Private message, then a call | The manager |
| An emergency during training | Phone call | The coach |
Money is never discussed in the parents' group, and the names of those who haven't paid are never written there. Templates for reminder and collection messages are in a separate guide.

WhatsApp group rules for parents
Make it an announcements group: only the admin writes, and anyone with a question sends a private message. That way every announcement stays visible, and the training time doesn't get lost among dozens of replies.
The rules text (to pin at the top of the group)
Gloss: welcome to [academy]'s group for [programme]; this group is for announcements only: times, changes and holidays; for any question about your child or the subscription, message us privately: [number]; we reply from [hour] to [hour]; thank you for your cooperation.
Pin the message, and send it again at the start of each term or when a new intake joins.
And when you write in the group, keep to these limits yourself too:
- No child's name with a negative note: that belongs in a private message.
- No payment demands: and no lists of who is late.
- One clear announcement: is better than three messages in a row correcting each other.
- No messages after an hour you set: except for an urgent cancellation.
- Parents who break the rules: are told privately first, calmly.
When do you reply? Published limits and hours
- Publish your reply hours: for example from 9 am to 9 pm. This is an example, and the academy chooses what suits it.
- The coach doesn't answer questions about money and registration: they pass them to the manager.
- No discussions on the pitch in front of the children: not during training or straight after it. Set a time for a call.
- Playing time and line-up are the coach's decision: and are not discussed in the group.
Anyone who writes outside those hours gets a short ready reply (template 7 below).
Before the term starts: what parents know in advance, they don't ask about
Most of the questions repeated in the group have answers known before the first session. Write them once at the start of each term:
- Training days, times and place: and the drop-off and pick-up point if the pitch is inside a complex.
- What the player brings: clothes, shoes and water, and what isn't allowed.
- Expected holiday dates: Ramadan, the Eids and the end of term, even if approximate.
- What happens in bad weather: when the cancellation notice arrives, and where it is posted.
- Who to ask about what: the coach about training, and the manager about money, registration and complaints.
- Reply hours: as in the previous section.
This message together with the rules text is enough to keep the group calm in the first weeks, which are the weeks with the most questions.
Ready-to-copy message templates for parents
Copy the template and replace what is in brackets with your academy's details.
Welcoming a new player
Gloss: welcome to [academy]; [child] is enrolled in [programme], group [group]: [days] from [time] to [time] at [place]; bring [clothes/water] and ideally arrive ten minutes early; the coach is [coach]; for questions, message us on this number.
Send it privately after enrolment. It is separate from the receipt email the parent gets automatically after paying.
Change of training time
Gloss: from [date], training for group [group] moves to [day] from [time] to [time] because of [reason, e.g. Ramadan hours]; everything else stays the same; if the new time doesn't suit you, message us privately and we'll look at alternatives.
Cancelling a session because of heat, dust or rain
Gloss: for the players' safety we are cancelling today's training [day/date] for group [group] because of [extreme heat/dust/rain]; [the session will be made up on … / we'll tell you the make-up date before …]; we apologise for the sudden change.
Send it a fixed time before the session that the academy announces, for example two hours, in the group and privately to those who don't read the group. Make-up sessions are the academy's decision: delete the second sentence if there is no make-up.
Following up an absence
Gloss: we missed [child] at the last two sessions and hope they're well; if there's a circumstance or something we can help with, let us know; we look forward to seeing them [next day].
End-of-term note
Gloss: at the end of term we'd like to share coach [coach]'s note about [child]: improved in [skill], needs to focus on [skill], and what stands out most is [quality]; for practice at home: [simple exercise]; thank you for your trust.
Three specific sentences are more useful to a parent than a long report nobody reads.
First reply to a complaint
Gloss: hello [parent], thank you for telling us directly; we've received your note about [subject] and are following it up with [the coach/the management]; we'll contact you [today/tomorrow] before [time] to agree on a solution; if you prefer a call, choose a time that suits you.
Outside reply hours
Gloss: thank you for your message; our reply hours are from [hour] to [hour], and we'll reply first thing in the morning; for emergencies during training, call the coach on [number].
An absence message is concern, not blame, so don't mention money in it. And if the coach takes attendance from their phone, you know who was absent from the record, not from memory.
Taking attendance from the coach's phone
How do you handle a parent's complaint?
- A first written reply the same day: template 6, even if the solution isn't ready.
- No discussion in the group or in front of the child: move the conversation to private straight away.
- Hear both sides before judging: the coach and the parent, each separately.
- A short call from the manager: not from the coach alone if the complaint is about them.
- Close with a message summarising what was agreed: what will change, who is responsible, and when.
And if the complaint is about a payment or a refund, the reference is the published refund policy.
What does Midmar handle and what stays with you?
In Midmar, the sports academy management system, part of communicating with parents happens without you writing anything:
- A receipt by email reaches the parent the moment payment succeeds.
- A renewal reminder email five days before the subscription ends, and another on the end date, in every package.
- The academy's page, where the parent sees the programmes and groups with their days and times, the remaining places and the price, so there are fewer "When is training? How much is the subscription?" questions.
- The parent's account shows each subscription, its status and its end date.
What it doesn't do today: Midmar doesn't send WhatsApp messages for you, doesn't send a group announcement to all parents, and has no feature for cancelling a session or scheduling its make-up. Children's progress reports for parents are "coming soon". These remain your own messages, and the templates above are for them.

Common questions
Is it better to have one WhatsApp group for the academy or one for each training group?
Each training group gets its own announcements group. That way an announcement about a time change or a cancellation reaches only those it concerns, and the others don't ignore it.
Should the coach give parents their personal number?
The academy's number is better. If they give their own number, they should publish reply hours and pass questions about money and registration to the manager.
When should I announce that a session is cancelled because of the weather?
A fixed time before the session that you announce in advance, for example two hours, in the group and privately to those who don't follow it.
What do I do if a parent criticises the coach in the group?
Don't reply in the group, and don't delete their message straight away in front of everyone. Send them a private message and invite them to a call with the manager (template 6), then remind the group of the rules without mentioning their name.
Does a cancelled session have to be made up?
That is the academy's decision. What matters is that it announces its policy in advance, and that the cancellation message says clearly whether there is a make-up and when.
