Why do parents struggle with the academy?
They write in the chat: "When does my son's subscription end?" They transfer the money, then send a photo of the transfer, without knowing whether a place is left in the group. Each of those questions is a message waiting for your reply.
What does a parent do on the academy's portal?
The parent opens your academy's link in their phone's browser, and in their account they can:
- Browse programmes and groups with their days, times, places left and price, before enrolling.
- Add their children to the account once, then pick one at each booking.
- Book the place and pay from their phone.
- Follow each child's subscription, its status and end date, in "Manage my subscriptions".
- Renew with the "Renew" button, or from the reminder email's link.
- Cancel the payment or request a refund themselves, within the stated time limits.

One account for all your children
The parent opens an account with their name, phone number, username, email and password, and agrees to the terms and privacy policy. They then sign in with their username or phone number and password, and if they forget it, a link to set a new password reaches their email.
Register children once
At the first booking they tap "Add a new participant" and enter the full name, date of birth and gender. At every booking after that they pick the child from the "Choose participant" list without typing again. An adult enrolling themselves picks "This is me".
The same account works at any academy on Midmar, so a parent doesn't start from scratch when enrolling their child in a second sport at another academy.
Checks before booking
Before the place is booked, the system checks the programme's conditions, and if booking isn't possible it tells the parent why, clearly:
- The child's age is outside the programme's age range, or the programme is for children only or adults only.
- The programme is for another gender.
- The group's places are full, or the child already holds a place in it.
The "Manage my subscriptions" page: each child and their status
At the top of the portal is a "Manage my subscriptions" link. There the parent finds a card for each subscription at this academy: the child's name, programme and group, status and price. This page is the heart of the parent portal, and the status shows like this:
- "Awaiting payment" with a "Pay now" button.
- "Active" with the end date and a "Renew" button.
- "Ended" with a "Renew" button.
- "Cancelled".
The cards are designed for the phone screen, so the pay or renew button stays visible without sideways scrolling.
Cancelling a payment and requesting a refund from the account
Right after paying, a box above the cards shows the last time to cancel, with a "Cancel payment" button and then "Confirm cancellation and refund". When that window passes, a "Request a refund" button takes its place with a "Reason (optional)" field, and stays until the last day of the refund window.
The parent then follows the request on the same page: under review, approved by the academy, or declined, and the decision reaches them by email.
What reaches the parent's email?
All of these messages are in every package, including the free basic one:
- Payment receipt the moment payment succeeds: receipt number, participant, programme, amount paid, payment date, "Subscription active until", and a "View my subscriptions" button.
- Renewal reminder five days before the end, with the end date, renewal amount and a "Renew subscription" button.
- End-day email if they haven't renewed, with the same button.
- The refund request decision, then a refund notice when it is carried out.
- Security alert if the password or email changes, with a button to secure the account.
Subscription, payment and refund messages carry the academy's name in their subject, so the parent knows at a glance where they come from.
Guide to reminding parents to renew
In Arabic and English, from the phone's browser
No app to download. The parent opens the academy's link your-academy.midmar.app in their phone's browser. At the top of the page an "EN" button switches the portal to English and "عربي" switches it back, and the chosen language stays for later visits. Programme names and descriptions appear as the academy wrote them.
What doesn't the portal show today?
Children's progress reports for parents come with the Growth package, coming soon. Today the parent's account doesn't show their child's attendance or the coach's rating; those are a record the academy keeps.

Questions about the parent portal
Does the parent need an app on their phone?
No. The phone's browser and the academy's link are enough; then they sign in.
Can they enrol more than one child with one account?
Yes. They add each child once, pick them at each booking, and see all their subscriptions at the academy on one page.
How does the parent know the subscription is ending?
They see the end date in "Manage my subscriptions", and get an email five days before the end and another on the end day, both with the renew button.
Can the parent follow their child's attendance and the coach's rating?
Not today. Reports for parents are coming with the Growth package, soon.
Can I see the portal through a parent's eyes before I sign up?
Yes. In the demo academy you browse the programmes, book a place as a parent, and complete payment in a test mode where nothing is charged.
